How members book
*What this page covers: how empty slots become discoverable, how the matching engine routes members, and what you see on your dashboard.*
Fitnessers is designed so that your empty slots automatically become discoverable to active members across the entire network, without you managing marketing or member outreach.
Why this matters for your gym
Instead of expecting you to run complex marketing campaigns, the platform distributes demand so that your empty slots are visible to trainers looking for flexibility:
Your slots become discoverable
When members look for training slots, your quiet hours are highlighted based on their proximity and training goals. Empty space gets direct visibility.
Intelligent network routing
Capacity is distributed across partners. If a nearby facility is full or doesn't offer a particular focus, the network routes that overflow to your gym, filling slots that would otherwise sit idle.
Sustained member consistency
Because members can easily discover and book available spots, their training momentum stays high. Consistent habits translate directly into more recurring check-in credits for your gym.
The member experience
Members interact with your gym entirely through the Fitnessers app. Understanding their flow clarifies why your sessions fill the way they do:
They build their weekly workout plan
Every member has a weekly schedule screen in the app. Each day of the week is mapped to a workout — a muscle group focus or a class type. The member assigns what they plan to train on each day: chest on Monday, legs on Wednesday, cardio on Friday, and so on. This plan is the foundation the app uses to suggest active slots.
The matching engine routes them automatically
Imagine a member plans a chest workout on Monday. Their usual gym is full. Normally that workout simply doesn't happen. Fitnessers finds another partner gym nearby with available capacity and routes them there automatically. The member stays on track. The other gym fills an otherwise empty slot. This is the core matching engine — it handles routing by factoring in location, workout focus, available capacity, and member reliability.
They reserve the slot
The member confirms the suggested session or picks one manually. The slot is reserved, your capacity count decreases by one, and the focus they selected is logged. No tokens are deducted at this point.
They receive a reminder
The app sends a push notification before the session. This reduces no-shows without any effort from you.
They arrive and check in
They scan the QR code displayed on your staff's device at the entrance. Attendance is confirmed, their tokens are charged, and you receive the credit for that visit.
Optimised capacity is more profitable
A session where every member is there for the same muscle group runs closer to its physical capacity without feeling crowded. Bench presses are busy, cardio machines are free — and that is exactly what was planned. Compared to a random mix of members competing for the same equipment, a focus-matched session delivers a better experience and a higher real utilisation rate for your floor space.Focus area & what you see
Every booking carries the member's declared focus for that session — chest, back, legs, cardio, full body, or a specific class type. This is visible to you in the session view of your operator dashboard before the session starts.
You can use this to prepare the floor — arrange equipment, assign coaching staff, or open specific areas — before the first member arrives. No guesswork about what the session will look like.
Cancellations initiated by members
Members can cancel a booking at any time before the session starts — no penalty, no token charge. The slot is released back into availability immediately and the next person on the waitlist, ordered by reliability score, is promoted automatically.
Once a session has started, cancellation is no longer possible through the app. A member who does not check in within the 2-hour session window is marked as a no-show automatically when the session closes. No tokens are charged for a no-show — but their reliability score is reduced. Repeated no-shows compound the penalty and trigger automatic cancellation of all their upcoming bookings across the platform.
The boundary is session start, not 24 hours
There is no late cancellation window. The rule is simple — cancel before the session starts and nothing is charged. Miss the session without checking in and the reliability penalty applies. Tokens are never charged for cancellations, only earned by confirmed check-ins.What members see about your gym
Members see your gym name, address, photos, live session schedule with available slot counts, token price per session, class types, focus tags, and any women-only flags. They do not see your revenue figures, payout rate, star rating rationale, or any operational configuration.
Your star rating is visible to members as a quality indicator — 1, 2, or 3 stars — without the detailed breakdown of how it was assessed.
You don't manage member accounts
Member subscriptions, token balances, cancellations, and support requests are all handled by Fitnessers. If a member has a complaint or a billing issue, they contact us — not you. You are never put in the position of resolving booking disputes.Bringing members to your door only works if they actually show up.
